What does the Workflow Live Guarantee cover?

Accepted Answer

If your system isn't live by the end of week 12, your final invoice drops by 50%. The 12 weeks count from the day the build starts, as set out in Schedule A of your engagement letter. That invoice is the last 20% of the fee. We keep working at no extra cost until it's live. The conditions are listed above, under Workflow Live Guarantee.

Question 2

What counts as 'live'?

Accepted Answer

It means the system runs with your real data, your team can use it, we're watching for problems, and your team has instructions for running it. The exact definition is fixed in your engagement letter at signing. We track ongoing performance separately, which doesn't change the launch guarantee.

Question 3

What if our data or approvals arrive late?

Accepted Answer

Your engagement letter sets the deadlines: data access by day 14 of the build, approval for connections to your tools by day 21, and a named person on your team who knows the work giving us at least 4 hours a week. Miss these and the Workflow Live Guarantee no longer applies. We still finish the work, but the 50% cut to your final invoice won't apply if the delay was caused by late input from you.

What if we want to change what's included part way through?

We both sign a change order that says whether the 12-week clock restarts from that date or extends by an agreed amount. If it doesn't say, the deadline extends by the extra days the new work needs. A verbal change doesn't move the clock, only a signed change order does. The guarantee also pauses, while the project continues, if your team named on the project shrinks by more than 10%, you go through a system migration, or a supplier outage lasts more than 5 working days.

Does the 8-12 week timeline include planning?

No. The 8 to 12 weeks is just the build, counted from the day it starts. The price also covers the planning before that: the audit, comparing options, and the design. We agree the full schedule, including any planning needed, when you sign. The guarantee deadline is week 12 from the day the build starts, recorded in your engagement letter.

Who does the planning and the build?

We do. The price covers everything, from investigating the problem to putting the system to work with your real data. We agree one system and exactly what's included, then hand over a working system with instructions. The Workflow Live Guarantee puts our deadline, and what happens if we miss it, in your engagement letter.

Question 7

What if AI isn't right for the system you'd build?

Accepted Answer

We check that during the planning, before any build starts. The audit, the comparison of options, and the design all have to support the system we've chosen. If changing how you work or using a tool you already have is the better answer, we say so and talk through next steps. We won't build something the evidence doesn't support.

Question 8

Should I start here or with the Operating Plan?

Accepted Answer

Start with the AI Ops Review (A$4,950 including GST) if you first need to decide what to tackle. Choose the Operating Plan for the design and costs worked out before you commit to a build. First Workflow Live includes that planning plus building one system. If you've already done an Operating Plan with us, everything from it carries forward and we won't repeat the work.

Question 9

Does money I've already paid you come off the price?

Accepted Answer

Yes, in two ways. If you complete an Operating Plan and sign First Workflow Live within 90 days of approving that plan, the Operating Plan fee you paid comes off the build price. Separately, if First Workflow Live is your very next project after an AI Ops Review, the Review fee you paid comes off it, as long as you sign within 30 days of getting your report, or 60 days if you paid for the Review when you booked. Each credit can be used once, can't be passed on, and can't combine with another credit or discount. The Review credit doesn't apply if that fee was refunded. Your engagement letter records which credit applies and the dates.
